Concepts¶
Form¶
A form is a list of steps that someone answers through a link. Steps are asked one at a time, and answers save as they are given rather than at the end.
Step¶
A step is one question in a form, and it asks for one thing. Some steps collect (audio, video, text, email, a file), others only show something (a statement, an image, a video to watch). A step's answer is stored under that step, which is why renaming a question never loses the answers already given.
Response¶
A response is one person's answers to one form: a row in that form's Responses tab, holding an answer per step. A respondent who comes back to the link continues the same response, unless the form locks answers after submit.
Mix¶
A mix is how a form's answers become a show: recordings drawn from its responses, plus your own intro, outro and music, arranged into one piece of audio and exported.
Podcast¶
A podcast page is where finished episodes are published — a public page with an RSS feed, on your own domain if you set one up.
Team¶
A team is a group of people who share what they work on. In spOken a team is usually either a client of your agency, so everything about that client stays together, or an internal team where colleagues need the same forms, mixes and podcasts.
To add someone, open the team and choose Send invitation. Enter their email address and the role they should have: they are sent an invitation and join when they accept it, whether or not they already have an account. Nobody is added without accepting.
Until then the invitation sits under Pending invitations, where it can be revoked or sent again, and its role changed — what the invitation says when it is accepted is what is granted. An invitation lapses after seven days, and one that has can be sent again from the same place.
Members see everything shared with the team, and anything a member shares with the team becomes visible to all of them. Removing someone takes that access away immediately; it never deletes what they created.
Every team has at least one owner, who can add and remove members and rename the team. The last owner cannot be removed — promote someone else first.
Files and folders¶
Files are organised in folders, and a folder can hold folders of its own. Drag an item onto a folder to move it, or use Move to from its menu.
Anything you can see in a list you can also search from the box at the top: search looks at names, not at file contents.
Deleting a folder does not delete what it contains — the items move back up to the level above, so tidying up can never lose your work.
